Recruiting teams lose time in the first stage of hiring because the work is both repetitive and consequential. Candidates need information about the role, location, working pattern and next steps. Recruiters need to confirm basic requirements, availability, language, salary expectations where appropriate and interview scheduling. A poorly designed automation can create the opposite of efficiency: inconsistent questions, unclear records and a candidate who feels screened by a machine they cannot challenge.

Define what screening is allowed to do

Write the allowed tasks before the agent asks its first question. Administrative tasks may include confirming the role, location, working pattern, start-date availability, work authorisation process and interview slot. Role-related questions may cover clearly documented experience or certifications that are genuinely required. Anything beyond the approved rubric belongs with a recruiter.

Separate evidence from evaluation. “Candidate said they have three years of experience with X” is a record. “Candidate is a culture fit” is a subjective conclusion that should not be generated as a hidden label. If a requirement is binary and legally reviewed, capture the candidate's answer and let the responsible team apply the process.

Use a structured interview that still sounds human

Consistency does not require a robotic conversation. Explain the purpose, ask one question at a time, allow a candidate to ask for clarification and make it easy to stop or request a person. Tell the candidate what will happen with the information and what the next step is. A natural voice can be warm while the evaluation model remains structured.

Use the same core questions for comparable candidates, with controlled follow-ups when an answer is unclear. Avoid improvising questions based on accent, age, perceived confidence or personal background. Make accommodations and language access visible

Candidates may prefer another language, need more time, use assistive technology or request a human alternative. The workflow should treat these as normal options, not exceptions that reduce a person's opportunity. Protect candidate data and explain the record

Collect only what the recruiting workflow needs. Avoid asking for health information, family details, political views or other sensitive data unless there is a lawful, role-specific process and trained human ownership. Keep access limited, document retention and explain the candidate's route for questions or corrections.

A transcript should not be the only artifact. Store the structured answers, source question, candidate clarification, recruiter review state and next action. If the system generates a summary, make it possible for a recruiter to compare it with the original answer. Route edge cases to a recruiter

Build explicit handoff paths for questions about accommodations, visa or work authorisation complexity, compensation exceptions, role changes, discrimination concerns, candidate distress and any disagreement with a recorded answer. The agent should not argue about eligibility. It should acknowledge the question, preserve context and route it.

Test for consistency and adverse patterns

Use simulated conversations for candidates with different accents, names, communication styles, languages, interruptions and levels of confidence. Score whether the agent asks the approved question, captures the answer accurately, avoids an unsupported inference and routes the edge case.

Measure candidate experience and recruiter value

Track completion, candidate-requested human handoff, scheduling success, recruiter rework, time to next step, clarification rate and candidate feedback. Do not optimise for the shortest call if candidates leave without understanding the role or if recruiters need to repair the record. Check whether a candidate can correct an error and whether every completed conversation ends with a clear expectation.
